Please read the following carefully. By registering to attend AmeChibi 2025, you agree to the terms below.
- THE AGREEMENT: The agreement formed, upon completion of registration, is between you (the Applicant) and the organising committee of AmeChibi 2025 (the Committee).
- The Committee reserves the right to refuse any membership. If any monies have been paid, they will be refunded according to sections 9, 10, 11, and 12 of this form.
- The Committee reserves the right to refuse entry at the door, if the Committee deem it is required to do so. Refunds will be discussed on a case by case basis, and if accepted refunded according to sections 9, 10, 11, and 12 of this form.
- The Committee reserves the right to revoke the membership of any attendee behaving in a way that harms the convention, or other attendees and their enjoyment of the event, or breach of these terms, without refund or right of appeal. Harm to the event, or to other members or their enjoyment of the event is determined at the discretion of the Committee. Awareness of the rules is the responsibility of the member.
- IDENTIFICATION: In order to enter the convention, proof of identity and age are required to be presented to a member of the registration staff upon arrival, following the procedure in place. Forms of identification currently recognised by the Committee for entrance to the AmeChibi 2025 event include passport, driving license, any national ID or PASS approved ID card.
- All forms of identification must be valid, and expired identification will not be accepted. Failure to present valid identification will constitute a breach of our terms, and you may be refused entry to the event.
- Identification must match the details provided on registration. If your preferred name does not match your ID this must be declared in your registration.
- TRANSFERS: Transfers are not allowed without express permission from the Committee, the other party involved in the transfer and the payment of an administration fee. Transfers are also held by the terms outlined in this agreement.
- MINIMUM AGE: The minimum age for attendance at the AmeChibi 2025 event is 18 years old, which all Applicants must be before or on the opening day of the convention. Any underage person found attempting to access AmeChibi 2025 will be ejected without refund, and may face banning from future events – whether or not they are then of age. Further, infants and children below the age of 18 are not permitted within the event space.
- CANCELLATION OF MEMBERSHIP: Memberships may be cancelled by the Applicant contacting the Committee. The Committee reserves the right to charge a cancellation fee, in proportion with the membership paid and circumstances of cancellation.
- REFUNDS: When issuing refunds, the amount refunded is contingent on the length of time remaining before the event. This is due to the need to pay per-member expenses prior to the start of the event. This scales as follows:
- If a refund is issued before the 3rd of July a full refund (minus a non-refundable administration fee) will be issued. This will include any money paid towards merchandise.
- If a refund is issued after the 3rd of July and before the 3rd of September a 50% refund (minus a non-refundable administration fee) will be issued. This does not include money paid towards merchandise.
- After the 3rd of September no refund will be issued unless specifically agreed with the Committee.
- AmeCon is not responsible for refunding any monies paid to third parties for memberships. All refunds will be paid in respect of an Applicant within 28 days of termination of contract. Refunds will be issued to the same payment method as the initial payment for membership (i.e. the same credit/debit card).
- DUPLICATE MEMBERSHIPS: Each Applicant may hold a single membership in their name. In the event that an Applicant obtains more than one membership, they may request a refund in line with sections 9, 10, 11, and 12 of this agreement. The Committee may waive the administration fee in the event that they consider the situation to have arisen through error of the administration system.
- DURATION OF MEMBERSHIP: Membership of the AmeChibi 2025 event begins with receipt of the membership badge issued by registration staff upon final registration at the convention and ends with the conclusion of the event. Members are required to abide by both the rules of the convention and the venue in which the event is held. The members are responsible for any damages they may cause and are solely liable for any fines, charges or fees they receive.
- INTERNATIONAL APPLICANTS: International applicants must ensure they are legally permitted within the United Kingdom. The Committee will not be held responsible for, or give assistance with, immigration procedures.
- LIABILITY: Throughout the membership process (completed upon arrival at the AmeChibi 2025 event), the liability of the Committee is limited only to the sum of money paid by the Applicant for membership (see also sections 9, 10, 11, and 12). The statutory rights of the Applicant remain unaffected.
- If any provision of this agreement is found to be invalid by a competent authority, all other provisions of the agreement will remain in force and will not be impaired. In any case where a provision is found invalid due to a contradiction identified with another provision, the agreement will apply with the minimum required adjustments to be valid and enforceable.
- The Committee reserves the right to amend these terms, to a reasonable level, if it is deemed required by the Committee that such a change is needed to ensure the smooth running of the event. Notifications of these changes will be announced through the website and available at convention Operations during the event.
- By attending AmeChibi 2025 you give permission for all materials taken by the AmeCon event Committee, staff or press to be used for publication, exhibition and reproduction for any of the following uses: Promotion, Web Casts (includes live streaming of the event), Inclusion on Websites, Inclusion in Printed Media. Where possible identity protection can be requested, however please note that for events that are streamed live this is not possible. Requests for identity protection should be made in writing to publicity@amecon.org.
- All requests for identity protection will be responded to within 14 days with a course of action to be applied by the AmeCon committee. Please be aware that all material will be kept by the AmeCon committee for future reference though Identity Protection requested material will not be used for any Promotional, Printed or Website works by AmeCon. You have been fully informed of your consent, waiver of liability and release by accepting these terms and conditions. In extension to the above you also grant permission for any member to film or record you at events in which you participate, at all other times members must obtain separate permission to film or record you.
- These terms and conditions are governed by the law of the United Kingdom of Great Britain and Northern Ireland.
